A business that takes digital payments gets something cash never gave it: records that write themselves. Every Kit Pay merchant payment is tracked from scan to settlement, every settled movement is a double-entry ledger record, and your business wallet keeps its own complete history — separate from your personal life, ready to answer questions.
The two layers of the record
- Payments: each merchant payment carries an explicit status — pending, held, captured, refunded or partially refunded, cancelled, expired. The status is the truth about where that payment stands; nothing hides in an in-between.
- Money: the business wallet's history records every settled movement in and out, added to the ledger rather than rewritten. The wallet history is what reconciles against your till, your stock, your day.
A reconciliation habit that takes five minutes
- At close, read the day's payments and their statuses. Captured payments are your digital takings; anything pending or held is visible as exactly that.
- Compare against your own count of the day — orders, stock out, cash takings if you also take cash.
- Chase differences while they are hours old, not weeks old: a payment a customer swears they made either has an entry or it does not.
- Where staff take payments as members, the record shows who took what — questions become lookups instead of accusations.
